Corporate Chauffeur Service in Sofia: Business Travel That Runs on Time
Companies do not buy chauffeur services because executives like nice cars. They buy them because an unpredictable journey is an expensive one, and because the alternative — everybody arranging their own transport and expensing it — produces worse outcomes at a higher total cost than anybody expects.
This is what corporate ground transport in Sofia actually involves, what it costs, and how to set it up so it does not need managing.
The four things companies actually book
Arrivals for visitors. A client, an investor, an auditor or a candidate lands at Sofia Airport and somebody is waiting with their name. This is the highest-value use of the service and the one where failure is most visible: the first ten minutes of a visit set the tone for the rest of it.
Airport runs for staff. Routine, repetitive, and the easiest thing to get wrong at scale. A fixed price per journey makes it forecastable; a fixed price at 05:00 makes it reliable, which matters more.
A day of meetings. Three or four appointments across the city with gaps in between. Booked as separate journeys this is expensive and fragile. Booked by the hour it is one car, one chauffeur, and no time spent finding transport between appointments.
Roadshows and visiting delegations. Several people, several days, a schedule that changes. This is the case for a standing arrangement rather than a series of bookings.
What it costs
Two structures, and choosing the right one is most of the saving.
Point to point, for a journey with a start and an end. Sofia Airport into the city is from EUR 66 in an EQE and EUR 95 in an EQS. The price includes VAT, tolls and fees and does not move with traffic.
By the hour, for a day that involves waiting: EUR 55 an hour for the EQE, EUR 65 for the EQV, EUR 105 for the EQS, one-hour minimum. Four meetings across Sofia in a day is comfortably cheaper by the hour than as four transfers, and the car is there between them rather than summoned each time.
The rule of thumb: if the car would otherwise wait, book the hours. If it would drive away, book the journey.
Collecting a visitor properly
The mechanics matter more than the car. Airport pickups include 60 minutes of free waiting measured from the actual landing time, and the flight is tracked, so a delay does not need anybody to intervene. The chauffeur meets the passenger inside the arrivals hall with a name sign rather than at a rank outside.
Three things to get right when booking on somebody else's behalf:
- Use the passenger's name on the sign, spelled as they would recognise it, not the company's.
- Give the passenger's own phone number, not the assistant's. The person who needs to reach the chauffeur is the one at the airport.
- Include the flight number. That is what connects the booking to the actual arrival time.
Put the meeting address in as the destination even if the visitor is going to a hotel first — it changes nothing about the price and it means the chauffeur knows what the day looks like.
Why the hourly structure suits a schedule that moves
Business days rearrange themselves. A meeting overruns, a second one moves, the last one is cancelled. With separate transfers each of those is a rebooking. With an hourly booking the car is simply still there, and additional time is added at the same rate.
For a visiting delegation this is the difference between one arrangement and fourteen. It is also the version that produces a single, legible line on an invoice instead of a scatter of small ones.
The arithmetic, worked through
A visiting director has four meetings across Sofia on a Wednesday, from 09:00 to 17:00.
Booked as separate journeys, that is five transfers counting the hotel at each end, each one arranged individually, each one waiting to be found in the gap before it, and each one a separate line on the expense claim.
Booked by the hour in an EQE, it is eight hours at EUR 55 — EUR 440, one car, one chauffeur who knows the day's shape, no time lost between appointments, and a single invoice line. If the 15:00 meeting overruns by forty minutes, nothing has to be rearranged.
The hourly version is not always cheaper in raw fare terms, and for two well-separated journeys it is not. For a day with waiting in it, it usually is, and it is always simpler.
Discretion, and the quiet part
Anything discussed in the car is not repeated. That is not a policy document, it is the basic condition of doing this work: chauffeurs carry people who are between meetings and still talking about them.
The practical corollary is that an electric car is a quiet one. Calls taken on the way from the airport are audible at both ends, which on a two-hour transfer from Sofia to Plovdiv is a working hour recovered rather than lost.
Billing
Bookings are paid by card at the time of booking and confirmed by email immediately. If you need an invoice issued to a company, put the company name and VAT number in the notes when you book, or reply to the confirmation email and we will issue one against those details.
For regular volume, ask about a standing arrangement rather than booking each journey individually — it is the point at which per-booking administration starts to cost more than the transport. That is what our corporate solutions page is for, and longer-term partnerships are handled separately.
Intercity, for the days that leave the city
Business travel in Bulgaria is not confined to Sofia. The routes that come up most are Sofia to Plovdiv at 151 km and about 1 h 45 from EUR 238, and Sofia to Burgas at 385 km and about 3 h 40 from EUR 430.
Over that distance the comparison is not with a taxi, it is with a domestic flight or a hire car. The transfer wins on door-to-door time against the flight once check-in is counted, and on usable working time against the hire car, because somebody else is driving.
Common questions
Can we set up an account rather than book each time?
For regular volume, yes — get in touch and we will put an arrangement in place. Individual bookings need no account at all.
Can I book for somebody else?
Yes, and it is most of what corporate booking is. Use the passenger's name and phone number, not your own, and include their flight.
What happens if their flight is delayed?
Nothing you need to do. The flight is tracked and the pickup moves with it, with 60 minutes of free waiting from the actual landing time.
Can the same chauffeur cover several days?
Ask when you book. For a multi-day visit it is usually possible and it is worth requesting — it removes a briefing from every morning.
Do you carry more than three passengers?
The EQV takes five passengers and five large bags. For a larger group, several cars travelling together is a normal booking.
Setting it up
A single journey books online in a minute and the price is fixed at that moment. For recurring travel, a visiting delegation or anything that needs an invoice arrangement, start from the corporate transport page and tell us the shape of the requirement rather than the individual trips.
